Approvals, comments and changes without the email thread
Send a link, collect the feedback in one place, and keep a record of who asked for what.
Approval is where small video jobs go to die: four people replying to different parts of the same email, one of them on holiday, nobody sure which version is current. The fix is a single link, a single feedback box and a visible status. The client does not need an account and does not need to be taught anything.
How it works for the client
They get an email from your agency with a still and a link. The page plays the video and has a box underneath it. They type their name, their email and what they want changed. That is the whole experience — no login, no password, no software.
How it works for you
Every comment lands in one list with the client, the video and the time against it, and moves through four states.
| State | Meaning | What the client sees |
|---|---|---|
| New | Just arrived | An instant acknowledgement email |
| Seen | You have read it | Nothing yet |
| Working on it | In production | Nothing yet |
| Done | Change delivered | An email telling them it is ready |
What you are told automatically
You do not have to watch the inbox.
- A receipt when you send the video, showing who it went to and when the link expires.
- An email the first time the client opens the link, then at most one a day after that.
- An email whenever a comment or change request arrives.
- One nudge if a change request has been open for more than three days.
The record of who asked for what
Each client has an activity trail: video sent, link opened, comment received, change requested, change delivered. When a client says the third round was supposed to include something, the trail answers it in seconds — and it is the same record that justifies a revision fee.
Charging for changes
Include one round in the price and charge for further rounds. For cold leads you can put a price on a revision directly: the lead pays on the page, and the request only appears as work once the payment has gone through.
Keeping versions straight
Edit the script and remake rather than starting a new project, so the history stays attached to the same job. The cost of the remake is shown before you confirm it, so there is never a surprise on the credit balance.

Common questions
- Does the client need an account?
- No. They click the link, watch the video and type their name and email into the feedback box.
- Can several people at the client comment?
- Yes. Everyone who uses the link can leave a comment, and each arrives separately with a name against it.
- How long does the link last?
- Client links are set when you send them, ninety days by default, and can be revoked at any time.
- Will I be told when they watch it?
- Yes — on first open, and then at most once a day if they keep coming back.
- Is there a record I can show a client?
- Yes. Every send, open, comment and completed change is timestamped on that client''s activity trail.
